The Social Host LLC Master Booking Terms
Last Updated: October, 2026
Welcome to The Social Host LLC (“The Company”). By initiating an online reservation, submitting an intake questionnaire, processing a date hold, or purchasing an individual ticket, the Client, organization, and all associated participants (collectively referred to as “Guests”) agree to be bound by the following unified operational and legal policies.
💳 1. The Financial Framework, Retainer, & Deposit Policy
1.1 The Two-Step Booking Process: Engaging The Social Host LLC begins with a non-refundable $200 consultation fee, payable at digital checkout. This fee covers two hours of pre-consultation research and preparation and a one-hour curation session with The Social Host. If you proceed to book an event following the consultation, the $200 fee is credited in full toward your package. It is not an additional charge.
Following the consultation, The Social Host LLC will present a detailed event proposal and estimate. Once you accept the proposal, a 50% booking deposit of the total package price is invoiced to secure your event date and initiate vendor commitments. The $200 consultation fee is credited against this deposit, so the amount invoiced at this stage is 50% of the package price minus $200.
The 50% deposit is due within 5 business days of invoice. Vendor commitments cannot be confirmed and your date cannot be held until the deposit is received. The Social Host LLC reserves the right to release the reserved date if payment is not received by the due date. Full cancellation and refund terms are at thesocialhostllc.com/terms-and-policies.
The remaining 50% balance is due 10 business days before your event date. For clients requiring an installment schedule between the booking deposit and the final balance, that arrangement is available on request and documented in your Client Event Services Agreement.
1.2 Unified Invoice: All costs associated with your event — including vendor fees, vendor-required deposits, transportation, catering, entertainment, and any other third-party service costs — are packaged into a single invoice issued by The Social Host LLC. You will not receive separate invoices from individual vendors. The Social Host LLC manages all vendor financial relationships on your behalf. This unified billing structure is designed to simplify corporate expense reporting and procurement approval. The Social Host LLC's cancellation policy in Section 1.4 governs your obligations. Individual vendor cancellation terms are absorbed into The Social Host LLC's coordination agreement and do not create separate financial obligations for you.
1.3 Balance Clearing & PO Rules: The remaining 50% balance is due 14 calendar days prior to the event, or an approved corporate Purchase Order must be provided within that window.
1.4 Cancellation & Forfeiture: The $200 consultation fee is non-refundable in all circumstances. It covers pre-consultation research, preparation, and the curation session, which are completed before any booking deposit is due.
If you cancel after paying the 50% booking deposit, the following applies based on how much notice you give before your event date:
More than 30 days' notice: 50% booking deposit is refunded in full within 10 business days.
15 to 30 days' notice: 50% of the 50% booking deposit is forfeited; the remaining 50% of the deposit is refunded within 10 business days.
Fewer than 15 days' notice: 50% booking deposit is forfeited in full; 100% of the total package price is due.
Headcount reductions after your confirmed headcount deadline do not reduce the contracted price. Vendor pass-through deposits are governed by each vendor's own cancellation terms and are not refundable by The Social Host LLC where the vendor's terms make them non-refundable. Full cancellation terms are at thesocialhostllc.com/terms-and-policies.
🎟️ 2. The Signature Pop-Up Series & Public Ticket Caps (B2C Nightlife)
2.1 Upfront Paid-In-Full Registrations: All individual admissions for our public experiential series (including the SLC VIP Crawls, Ladies’ Night Out Exclusives, and Holiday pop-ups) require 100% full payment upfront ($350 per ticket) at the moment of online registration.
2.2 The Strict 12-Guest Exclusivity Cap: To maintain an elite, high-end atmosphere and protect the micro-gathering experience, tickets are strictly capped at a maximum of twelve (12) seats per event block. The moment the 12th ticket clears, our automated Wix engine marks the event as permanently "Sold Out."
2.3 Ticket Transferability & Refund Policy: All individual public tickets are strictly non-refundable. However, tickets are fully transferable to another participant up to 24 hours prior to launch, provided the primary booking coordinator updates the name and contact details inside the Wix customer portal.
🍹 3. Alcohol Procurement & Regulatory Compliance (Utah DABC Rules)
3.1 Service & Education Only: The Social Host LLC operates strictly as an experiential hospitality, design, and mixology education concierge. The Company does not buy, handle, transport, warehouse, or sell alcoholic beverages under our corporate LLC banner.
3.2 The Sourcing Guardrails: For all private corporate speakeasies, mixology lounges, and onsite mixers, the client corporation or private social circle is solely responsible for sourcing spirits directly from the Utah State Liquor Store, or contracting an independent, third-party vendor holding a valid local 78B event liquor permit. Our package invoices structure mixology purely as a Hospitality, Glassware Rental, and Curated Ingredient Service Fee.
3.3 Age Verification: All participants engaging in drink tastings or nightlife crawls must be of strict legal drinking age (21+). The Company and its outsourced hospitality staff reserve the right to verify legal identification at any point during an experience.
🏡 4. Onsite Campus Pop-Ups & Third-Party Venue Integrations
4.1 The Transportation-Less Structure: Our core experiential pillars are built on a highly efficient, transportation-free framework. We bring the luxury elements directly onsite to your corporate tech campus or execute private buyouts inside pre-vetted local indoor venue networks (such as heated hotel banquet halls, rooftop lounges, museums, or private pool estates).
4.2 Independent Subcontractor Protection: The Client acknowledges that food preparation, technical entertainment (DJs), and specific live performances are executed by certified, independent local vendors. These sub-contractors maintain their own commercial liability coverage. Any property disputes, catering issues, or equipment failures are insulated to the active executing vendor.
4.3 The Luxury Transit Upgrade Option: For elite corporate tiers or private offsite crawls requiring movement, custom transit assets (scaling from 14-passenger luxury Sprinter lounges to large-scale Le Bus executive motor coaches) can be cleanly integrated via our strategic partner, Unity Transportation. All road-handling, vehicular liability, and chauffeur operations remain the exclusive insurance responsibility of Unity Transportation.
❄️ 5. Extreme Utah Winter Elements & Force Majeure
5.1 Safety-First Calendar Rescheduling: Given the highly unpredictable winter elements along the Wasatch Front and canyon corridors, employee and guest safety remains our highest operational priority.
5.2 The Operational Pivot Rule: If extreme weather, a blizzard, or a natural road closure forces a cancellation, cash refunds are not distributed. Instead, 100% of your booking funds are permanently protected and transformed into a priority corporate voucher, valid for any indoor workspace summit, boardroom speakeasy, or upcoming seasonal rollout within the next twelve (12) calendar months.
🛡️ 6. Property Damage, Behavioral Rules, & Liability Waivers
6.1 Mandatory Individual Waiver Tracking: To pass strict corporate compliance checks, every individual guest on your booking roster must complete our digital guest intake prior to arriving on-site. A liability acknowledgment is included in the intake form. Real-time signature logs are tracked automatically through our digital intake funnel.
6.2 Behavioral Evacuation Protocol: The Social Host LLC delivers elegant fun. Excessive intoxication, unsafe conduct, or a failure to respect property house rules will result in immediate evacuation from the venue space without a refund.
6.3 Damage Assessment Fees: The primary client booking coordinator assumes direct financial responsibility for any physical property damage, structural breakages, or biological biohazard cleanup fees ($350 minimum assessment) caused to our partner estate properties, banquet rooms, or Unity Transportation vehicles by any participant on their guest list, including any legal fees or collections costs incurred to recover property damages.
7. Limitation of Liability
The Social Host LLC's total liability for any claims arising out of your event — whether based on contract, negligence, or any other legal theory — shall not exceed the total amount you have actually paid to The Social Host LLC for that event. The Social Host LLC is not liable for indirect, incidental, consequential, or punitive damages, including lost business, lost revenue, or the cost of a replacement event. Our liability does not extend to the independent failures of third-party vendors.
8 . Photography and Intellectual Property
Unless you notify us in writing at least 14 days before your event, you grant The Social Host LLC permission to photograph and video your event for use in our portfolio, website, social media, and marketing materials. We will not publish the names of individual attendees. You may opt out by emailing judy@thesocialhostllc.com. All content on this website is the property of The Social Host LLC and may not be reproduced without written permission.
9 . Governing Law and Dispute Resolution
These Terms are governed by the laws of the State of Utah. Before either party pursues formal proceedings, contact us at judy@thesocialhostllc.com — most concerns are resolved directly. If unresolved, both parties agree to good-faith negotiation within 15 days, followed by non-binding mediation in Salt Lake County, Utah, with mediator fees split equally. Any litigation must be brought in Salt Lake County, Utah. The prevailing party is entitled to recover reasonable attorneys' fees.
